   Funding Information & Guidelines
    Approved by the AEC on September 17, 2002

The following outlines the guidelines used by the Jefferson County 4-H Alliance Executive Committee (AEC) in providing funding support for the Jefferson County 4-H Members, Leaders and county 4-H programs.  The intent of the AEC is to fund the participants in the most helpful way possible, per the guidelines below. A request for funding is required and must be submitted to the 4-H Office with the appropriate documentation included.

General Conditions of Funding:

  • The AEC does not pay for late fees or fines associated with late registration.
  • Funding may include special terms (e.g. requiring a presentation for the AEC about the event and the educational value)
  • There will be a returned check fee. The AEC will not accept responsibility for inadequate funds.
  • The participant agrees to fully reimburse the AEC for any funding if the participant does not attend the designated event.
  • Funding is provided as reimbursement to expenses incurred, except for direct requests.

Citizenship Washington Focus:
Three eligible members will be selected to attend each year. A great percentage of the total cost (identified by State 4-H Office) will be covered. If there are more than three applicants, interviews will be conducted.

Senator/Leader Meetings:
Full registration will be covered by the AEC for alternates, leader representatives and any district or state officers. Costs of up to two rooms will also be covered for delegates (adult and youth). LDC representatives will also be reimbursed for 100% of their registration fees.

Junior Leader Forum/Youth Fest:
Full reimbursement for chaperones/leaders for registration fees. 33% (1/3) of total registration fees will be covered for members who wish to attend (when the event is held). Refunds are not available in the event of a cancellation.

State 4-H Conference (June of each year):
The AEC will provide 50% of costs to those who participate and represent the county in some fashion. (Costs do vary with lodging, meals and contests)

CLC – Colorado Leadership Camp:
100% of registration fees for leaders and chaperones will be covered for those who attend the camp. 50% of the registration fees will go to those members who attend when the event(s) are held. No mileage reimbursement is to be given.

County Teams: (Horse, Livestock and others)
Teams are to submit a budget of planned expenses for the year and submit to the AEC. This budget is to include how much the team is willing to raise and how they are willing help the AEC in the future. The budget must be completed, signed by all parties involved (coach, each member, and parents) and presented to the AEC by all possible members participating on the team. It will then be determined what the team believes they can raise and how much assistance will be needed from the AEC to participate in the specified events. The reimbursement will be sent to each coach to distribute among team members.

State Fair:
Using the form, and following the guidelines, you will submit a request for reimbursement from the AEC. All requests will be divided among participants in a fair manner using the formulas and what is budgeted. The requests should only come from those who actively participate at the Colorado State Fair – 4-H Division.

Leader Trips and Training:

  • Western Regional Forum

      Up to four (4) first time participants will receive an equal portion of the budget line item (up to 60%), not to exceed the registration fee.

  • State 4-H Leader’s Forum

      All Jefferson County Leaders will receive full registration fees.

  • Other Trips and Training (not identified specifically in budget)

      Will be considered individually by the AEC. Workshop fees are included in this section.

Other Member/Leader Opportunities:
The AEC will consider requests made by members and leaders who desire to participate in activities and events that are not otherwise specified in the above listed events/divisions and that are not specifically a budgeted item. (ex: Environmental Camps, leadership opportunities and national events)

Notes:
Any members or leaders needing further financial assistance in order to participate in a specific event in the 4-H program may make a request for "Special Funding Due to Hardship." Forms will be available upon request only from the 4-H Extension Office and must be submitted to the agent and/or president prior to an AEC meeting.

The Alliance Executive Committee meetings are held every month, except August and December, on the third Tuesday. The meetings are from 6-7:30. and take place on the Jefferson County Fairgrounds. More participation and interest in the Committee is always welcome, and supported. For further information or clarification, please contact your organizational leader.
